Schedule a Session With a Client

Sessions โ€” strategy reviews, deep-dives, retreats, and ad-hoc meetings โ€” are how you stay connected with each client. As a partner, you propose and manage sessions from within each client's workspace. This guide covers scheduling, completing, and cancelling them. ๐Ÿ’ก Tip โ€” Who can use this For advisory partners. Open a client workspace, then go to the Sessions tab. You'll see a monthly compliance banner ("X/Y sessions completed this month") and a calendar view of scheduled sessions. The partner sessions tab with the calendar and session list Propose a New Session: choose the type (Strategy, Deep-Dive, Retreat, or Ad-Hoc), enter a title, date, time, duration, agenda, and the attending partners. The client is notified and can confirm or request a reschedule. Manage existing sessions: click any session to open its detail. From there you can: - Join Meeting via the personalized video link when it's time. - Mark Completed โ€” opens a post-session log form (attendees, discussion points, decisions, follow-up date). - Cancel Session if it's no longer needed. ๐Ÿ“ Note โ€” Session compliance is tracked per tier Each tier has a required session cadence (for example, Executive clients expect more sessions per month than Access clients). The compliance banner shows how many sessions you've completed versus the requirement, so you can see if you're on track. ๐Ÿ’ก Tip โ€” Post-session logs are valuable Filling in the post-session log when you mark a session complete creates a record of what was discussed and decided โ€” useful for the client and for your own advisory continuity. Complete or Cancel a Session

After a session happens (or if it won't), you mark it complete or cancel it from the sessions tab. For non-completed, non-cancelled sessions, you can: - Mark Completed โ€” opens a post-session log form where you record attendees, discussion points, decisions made, and a follow-up date. Saving completes the session and records the log for the client to read. - Cancel Session โ€” cancels the session. The client is notified. ๐Ÿ“ Note โ€” Completing records the post-session log Marking a session complete prompts you for the post-session log. Fill it in โ€” it becomes part of the client's session history and is valuable for continuity. Don't skip it. ๐Ÿ’ก Tip โ€” Cancel promptly if a session won't happen If a session needs to be called off, cancel it in Fortis Pulse rather than just not showing up. Cancelling notifies the client and keeps the compliance tracking accurate.

Read Your Session Compliance

Session compliance tracks whether you're meeting the required number of strategy sessions for each client this month, based on their tier. X is how many sessions you've completed; Y is the required cadence for that client's tier (for example, Access clients expect fewer sessions per month than Executive clients). The banner tells you at a glance whether you're on track or behind for the month. ๐Ÿ“ Note โ€” The requirement varies by tier Higher tiers expect more frequent sessions (a deeper engagement), so the same number of completed sessions may be "on track" for one client and "behind" for another. The banner is per-client, reflecting that client's tier. ๐Ÿ’ก Tip โ€” Schedule ahead to stay compliant If the banner shows you're behind, propose sessions early in the month rather than waiting. Sessions take time to schedule, confirm, and complete โ€” planning ahead keeps you on track and gives the client reliable cadence.

Message Your Clients

As a partner, you can message any client in the organizations you're assigned to โ€” answer questions, share updates, or check in. The partner Messages inbox works just like the client one: a two-panel view with your conversations on the left and the active thread on the right. ๐Ÿ’ก Tip โ€” Who can use this For advisory partners. Find it under Messages in the left-hand menu. Your conversation list shows the clients you've been assigned to, with the last message preview and unread indicators. The partner Messages inbox Click any conversation to open it, or click New Message and pick a client from your assigned organizations to start a new thread. Type your reply in the composer (with bold, italics, and link formatting) and press Enter to send. ๐Ÿ“ Note โ€” Clients are always notified of your replies When you reply to a client, they receive both an in-app notification and an email, so your responses are promptly seen. Replies from clients to you are batched into emails to avoid flooding your inbox. ๐Ÿ’ก Tip โ€” Pulse AI is client-side only Unlike clients, partners can't message Pulse AI directly. Pulse AI threads exist only on the client side. If you need AI assistance with advisory text, use the AI Compose / AI Enhance buttons in your review workspace or advisory log.

Upload Advisory Zone Documents (Lead Only)

As the lead partner, you can upload documents to the Advisory Zone โ€” the part of the vault internal to the advisory team. This guide covers advisory document uploads. ๐Ÿ’ก Tip โ€” Who can use this For lead advisory partners only, in a client's Documents tab. Quick reference | Step | Action | |------|--------| | 1 | Upload documents to the Advisory Zone | Step 1 โ€” Upload advisory documents In a client's Documents workspace, the zone selector lets the lead partner choose Advisory Zone (internal) when uploading. Non-lead partners and clients cannot write to the Advisory Zone โ€” it's reserved for the lead's internal work product. Uploads follow the same category, quota, and file-type rules as the Client Zone. Advisory documents are visible to the advisory team but not to the client. ๐Ÿ“ Note โ€” Advisory Zone is confidential Documents in the Advisory Zone are internal to the advisory team โ€” the client can't see them. Use this zone for work-in-progress, internal analysis, or anything not meant for the client yet. ๐Ÿ’ก Tip โ€” Move finished work to the Client Zone When an advisory document is ready for the client to see, upload a copy to the Client Zone (or ask the client to). The Advisory Zone is for internal use; the Client Zone is the shared handoff.
